Best Practices for a Smooth Onboarding Process on DS Platform
1: Provide Accurate Registration Information
- Ensure that the USDOT and MC numbers provided during registration are correct and match the records on the FMCSA website.
- Double-check that the company name, DBA (if applicable), physical and mailing addresses, and contact details are consistent with FMCSA records.
- Declare the accurate number of trucks (Power Units) and drivers available in your fleet.
2: Prepare Documentation
- Update the MCS-150 Form on FMCSA if it hasn’t been refreshed within the last year.
- Ensure the Operating Authority Status on FMCSA is “Authorized for Property.”
- Check that your cargo classifications include “General Freight” and “Intermodal Containers” if applicable.
3: Respond Promptly to Verification Emails
- DS will send verification emails to the email address registered on the platform and the one listed on FMCSA. Ensure both are valid and monitored.
- Ensure your Certificate of Insurance (COI) is up-to-date. Ask your insurance producer to:
- Email the COI directly to DS.
- List DS’s name and address under the “Certificate Holder” section.
- Confirm coverage for Cargo Insurance/Coverage is $100,000 or higher.
- Proactively communicate with DS to address any discrepancies or additional requirements.
4: Ensure Compliance with Safety Standards
-
Maintain good scores in FMCSA's CSA categories, including:
- Unsafe Driving.
- Crash Indicator.
- Hours-of-Service Compliance.
- Vehicle Maintenance.
- Controlled Substances and Alcohol.
- Hazardous Materials Compliance (if applicable).
- Driver Fitness.
- Avoid red flags like shared VIN numbers, addresses, or contact details with other entities.
5: Stay Transparent and Responsive
- Ensure that your company's details on COI, FMCSA, and DS are consistent and free of errors.
- Respond quickly to any inquiries from DS or insurance providers.
